Accounts Payable Specialist

The Accounts Payable Specialist position is a vital role in our organization and we are looking for the right person to continue our momentum forward.

How your success will be measured

To be successful in this results-based role as the Accounts Payable Specialist reporting directly to the Director of Finance, you will:

  • Work closely with all departments to maintain the financial records of the organization, ensuring accurate entries for reporting.
  • Participate in financial operations while meeting team goals and metrics.
  • Manage current AP processes while assessing for efficiencies and improvement.

As part of this role, you will also…

  • Manage accounts payable using QuickBooks Online and other platforms.
  • Monitor the Accounts Payable email inbox.  Work through and respond to inquiries and resolve questions/issues promptly.
  • Handle accounts payable for separate entities and vendors.
  • Analyze workflow processes.
  • Establish and maintain relationships with new and existing vendors.
  • Ensure bills and payroll are paid in a timely and accurate manner while adhering to departmental procedures.
  • Process due invoices for payments.
  • Maintain receipt storage and invoice filing.
  • Prepare vendor reconciliations, identifying and reporting any applicable issues.
  • Compare purchase orders, prices, terms of payment and other charges.
  • Process transactions and perform accounting duties such as account maintenance, recording entries and reconciling books of accounts.
  • Ensure the accuracy and completeness of financial records, including the general ledger, accounts payable and receivable, payroll, and other financial systems.
  • Participate in communication with external partners, including banks, auditors, and other financial service providers.
  • Other tasks as directed.

 

Qualifications & Strengths:

  • Bachelor’s Degree in Business or Accounting preferred, or equivalent experience.
  • Experience in financial management and bookkeeping.
  • Strong analytical, problem-solving, and decision-making skills.
  • Effective communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Passion for the mission and work of the organization.
  • MUST be disciplined to check your own work and demonstrate stellar attention to detail.
  • MUST be able to exercise independent judgment and make sound decisions.
  • MUST be exceptionally organized.

 

Job Type: Full-time

Hourly wage: $21.88 – $27.00 per hour
